[A GroupWise Rule
to Protect Against E-mail "Worms"
With few exceptions, most email "worms" (viruses that send themselves out on email by raiding a person's address book) can't hurt you if you don't open the attachments. This rule will put emails with potentially harmful attachments in a separate folder, for extra-careful handling by you, the savvy user. Once you get a message in this folder, screen it carefully. Whatever you do, don't open the attachment until you're sure it looks safe—or you've called the person to double-check. Reading the message won't do any harm.
Note: this rule will sometimes put messages in your Handle With Care folder that don't have viruses attached. In fact, we hope it will catch too many emails rather than too few. It is important that you check your Handle With Care folder for new mail. A small "unopened envelope" icon will appear next to the folder when there's new mail in it. Also, if you're a user who really likes the notification boxes you get for new e-mail, see below for instructions on setting these up for your HWC items.
Setting up the Rule
From GroupWise, create a new folder and call it "Handle With Care." If you need help doing this, check the GroupWise Help.
- Click Tools > Rules > New.
- Name your new rule, "Virus Protection" or whatever you choose.
- Under "When Event Is," the button should say New Item and the Received box should be checked.
- Under "Item Types," check all the boxes.
- Click Define Conditions. A new box opens up with a pull-down menu showing you a few choices.
- Click All Fields at the bottom of the list. This opens a box with all the rest of the choices.
- Click Attachments and click OK.
- The next item on the line is a button, which should already have square brackets displayed (meaning "Contains").
- In the third item, a box, type ".exe" without the quotes.
- Change the fourth item, a button, to "Or." A new line appears.
- Repeat step 8.
- This time, type ".vbs" in the box, again without quotes.
- Change the End to an Or again.
- Click Attachments.
- Now type ".scr" in the box. You got it, no quotes.
- Change End to Or.
- Click Attachments.
- In the box enter .pif.
- Change End to Or for the last time!
- In the box enter .zip.
- The last button will say "End." Click OK. (Whew!) Your conditions should look like this:
- Under "Then Actions Are," click Add Action and select Move to Folder.
- In the list of your folders, check the box next to the Handle With Care folder you just created. Depending on where you put your new folder, you may have to click the plus sign next to your Cabinet folder before you see it.
- Click Move.
- Click Save. Your list of rules now contains the one you just created. It will default to "Enabled," so click Close and you're done.
Getting Notification of "Handle With Care" Items
- Right-click on the little globe in the lower right corner of your screen, and select Options.
- Under the General tab is a window labeled "Select folders to check for notifications." You will probably have your Mailbox and Calendar folders already selected.
- Click on your Handle With Care folder so it is highlighted.
- Click Apply, then OK.
